Employees can be deactivated if they are no longer part of the company/organization. Deactivating an employee removes their access from Janitorial Manager.

Deactivating an Employee
- Go to Employees > Manage Employees.
- Click the X button in the Actions column to deactivate the employee.
- Choose the Termination Date and a Reason from the dropdown and enter any notes.
Updating Existing Schedules
Any one-time or recurring schedules assigned to the employee will be noted at the bottom of the window. The available actions are:
- Assign New Employee - Reassign all schedules to a different employee.
- Delete Schedule - Delete all assigned schedules.
- No Action - Leave the schedules as is.
- Convert to Open - Changes the schedules assigned to that employee to the Open For All status. This allows other employees to claim the shifts.
Updating Assigned Reporting Manager
If they are the assigned Reporting Manager for any employees, the available actions are:
- Assign New Employee - Update the affected employee's Reporting Manager to the new selection.
- Remove Employee - Unassigns the deactivated user as Reporting Manager for affected employees.
- No Action - Leaves the Reporting Manager as is for affected employees.
Removing User Access
- Go to Employees > Manage Employees.
- Click the Edit Pencil for the desired employee.
- Under User Information and User Access, uncheck both Web Access and Mobile Access.
- Select the Save button.
Reactivating an Employee
- Go to Employees > Manage Employees.
- Enable the Show Inactive checkbox.
- Find the employee and click the Activate button (circle arrow).
- The employee is now reactivated. Employee security settings may need to be updated.
Reports
Terminated List
Reports > Employees > Terminated List
This report shows a list of all deactivated employees. This includes the Termination Reason and basic employee details (hiring information, contact information, etc.). This report can be exported to Excel or PDF.

Question: Will deactivating an employee delete their past time punches?
Answer: No, past time punches remain visible on timekeeping and payroll reports.
Question: Can I see who deactivated an employee?
Answer: Yes, details of who deactivated an employee and when are included in the Employee Audit Log.
