Setting Up the QuickBooks Online Integration
The QuickBooks Online integration allows employee time and work order invoices to be sent from Janitorial Manager.
This is a one-way integration from Janitorial Manager to QuickBooks Online. JM can send data to QBO, but QBO cannot send data to JM.

Enabling the Integration
- In the web portal, go to the Gear icon > Manage Account.
- Select the QuickBooks subtab.
- Select Authorize.
- A popup will open in a new window. In the popup, select Connect.
- Once authorized, mapping data will appear below.
Deauthorizing & Reauthorizing
Deauthorizing
- On the QuickBooks subtab, Select Deauthorize.
- Confirm that you'd like to deauthorize the integration.
- Choose to either keep or clear mapping.
- If you choose to keep mapping, data will already be mapped if the integration is reauthorized.
- Removed mapping cannot be recovered.
Reauthorizing
- On the QuickBooks subtab, Select Reauthorize.
- In the popup, sign into QuickBooks Online.
- If Janitorial Manager is still added as an App in QuickBooks Online, the integration will reconnect.
Mapping Employees & Locations
Mapping determines where information from Janitorial Manager connects in QuickBooks Online.
Once Authorized, the number of unmapped System (Janitorial Manager) and QuickBooks items will be visible.
Clients and locations can only be mapped 1 to 1. Janitorial Manager cannot send data to unmapped items.
- Click Map Data for Clients or Employees.
- Click the QuickBooks Value dropdown and choose the equivalent customer/employee.
- Mapped items will be removed from the table.
Removing Mapping
- Select Remove Mapping.
- Select Remove in the Actions column to unmap an item.
- To unmap in bulk, select one or more checkboxes next to an item then Remove Selected.

Troubleshooting & FAQ
Question: Why don't I see all my QuickBooks customers/employees in the dropdown?
Answer: Inactive customers/locations cannot be mapped. Please reactivate any customers/employees in QuickBooks before mapping.
Question: My company employs subcontractors. Why don't I see my subcontractor names when mapping employees?
Answer: Users added as Contractors in QuickBooks cannot be mapped. The user must be added as an Employee in QuickBooks.
Question: I accidentally mapped a Janitorial Manager item to the wrong QuickBooks item. How can I fix that?
Answer: On the QuickBooks Online mapping screen, select Remove Mapping. This screen allows you to view and reset mapped items.
Question: I received a connection error from QuickBooks Online when trying to enable the integration.
Answer: The QuickBooks Online popup should include additional details on the error. Follow the instructions provided by QuickBooks Online before attempting to reintegrate.

You need admin permissions to connect this app to your company. Contact the admin of your company for help.
To resolve this error, log in as a QuickBooks Online user with admin permissions to enable the integration.
